Our picks
1. ChatGPT, best all-rounder. Fast, flexible and easy to adjust ("shorter," "warmer," "more formal"). Free plan: unlimited everyday text chats. Is ChatGPT free?
2. Claude, best for tricky or emotional emails. Its writing tends to sound natural and calm. Free plan with limits that reset on a rolling five-hour window. Is Claude free?
3. Google Gemini, best if you live in Gmail. Free in the Gemini app. Google says its paid plans (AI Plus at $4.99 a month and up) add Gemini directly inside Gmail. Is Gemini free?
4. Microsoft Copilot, best for Outlook users. There's a free version, and Microsoft's paid plans add Copilot in the Outlook, Word, Excel and PowerPoint desktop apps. Is Copilot free?
How to get a great email in one try
Tell the AI four things: who it's to, what you need, the tone and the length. Paste any email you're replying to. For example: "Reply to my landlord (below). I need the sink fixed by Friday. Firm but friendly. Under 120 words."
Then edit. Change a phrase or two so it sounds like you, and check names, dates and amounts.
Emails AI is great at
Complaints and refund requests, saying no politely, chasing an unpaid invoice, thank-you notes, job follow-ups (see our job search guide), and messages to a teacher or doctor's office. For the really hard ones, see write a hard email.
What to avoid
Don't paste other people's private details, account numbers or passwords. Read what not to type. And never send an AI-written email without reading it first. It sometimes adds promises you didn't mean to make.
The first thing to type
Reply to the email below. I need [what you want]. Tone: polite but firm. Under 120 words. Keep it plain and friendly. [paste email]Common questions
