How to get your family calendar under control with free AI

Short answer: Paste a school email or upload a photo of a sports schedule into a free AI tool like Gemini or ChatGPT, and ask it to list every date, time and place. Gemini can add the events to Google Calendar once you connect it, and ChatGPT can make a file that Google Calendar imports. Then ask for a weekly rundown to catch clashes.

Turn school emails into to-dos and dates

Long newsletters bury the two things you actually need. Paste the email into ChatGPT or Gemini and ask for just the dates and to-dos.

Copy this: “Here's this week's school email: [paste]. List only the dates, deadlines and things I need to do, send in or pay, sorted by date. Skip everything else.”

Turn a sports or activity schedule into events

Take a clear photo of the schedule (or upload the PDF) and ask for every event. Both free plans accept uploads, with limits. Always check the list against the original: AI can misread a blurry date.

Copy this: “Here's a school email / sports schedule: [paste or attach photo]. List every event with day, date, start and end time, location and what to bring. Then make a CSV I can import into Google Calendar with the headers Subject, Start Date, Start Time, End Date, End Time, Location, Description. Flag anything that looks unclear.”

Option 1: Gemini + Google Calendar

Google's help center says Gemini can create, find and edit Google Calendar events once you connect Google Workspace. Say "add these to my calendar" or start with @Google Calendar. Google says this needs Keep Activity on.

Google also shows snapping a photo of a flyer and asking Gemini to add the event to your calendar. See Gemini for beginners.

Option 2: ChatGPT + a calendar file

Ask ChatGPT for a CSV in the format above, save it, then import it in Google Calendar on a computer under Settings → Import & Export. Google Calendar imports .csv and .ics files.

Tip: import into a separate "Kids' activities" calendar so it's easy to fix or delete if something's off.

The Sunday family rundown

Once a week, paste in everything and get a day-by-day plan. It's good at spotting clashes, like two kids needing rides at the same time.

Copy this: “Here's our week: [list each kid's games, practices, recitals, appointments and who's driving]. Make a simple day-by-day rundown: who needs to be where and when, who's driving or carpooling, what to pack (uniform, instrument, water, cleats), snack duty, and any forms or payments due. Flag any clashes where two kids need a ride at the same time.”

ChatGPT's scheduled tasks can remind you to do this. OpenAI says Free accounts can have up to 3 active tasks, run at most once a day at flexible times.

Keep kids' details private

Leave out full names, schools and health details where you can. "Sam: soccer" works just as well. See Is Gemini safe? and Is ChatGPT safe?.

The bottom line

Let free AI do the copying: emails and schedules in, dates and calendar events out. Just double-check the dates before you rely on them. More ideas in AI for busy parents.
